The MWR department on the U.S. Naval Station in Rota needed a way of approving and tracking events planned throughout their organization. Up until now they had been passing paperwork back and forth between departments.

MWR (Morale, Welfare, & Recreation) is the Department of Defense’s organization in charge of operating all recreational facilities for military personnel located on U.S. Military bases. They run everything from restaurants and clubs, to travel agencies and sporting events. As you can imagine the amount of paperwork involved in running such an operation can be overwhelming so we were called in to come up with a solution for streamlining the event planning and approval process.

The applications purpose was two-fold. Not only would it make the process of planning and approving events less time consuming, but once the events were approved they would be published automatically on the departments own website thus freeing their marketing department from having to input the data manually.

For the event planner its self we used a combination of Coldfusion and Adobe Flex to create a secure application with a desktop like interface. A calendar is a great visual metaphor especially when you are planning events, so we based the core visual concepts on this idea to help ease new users into the approval process. Once the application went online we were also hired to give a series of classes to help new users start using the system and answer any questions they may have had.

There were many considerations that went into this project that ranged from studying and implementing their current approval process into an electronic workflow, as well as the security matters involved. For the latter, we setup a dedicated server for the project which we maintained for them and regularly ran security checks on.
